Privacy Policy
How SiteBuddy collects, uses, stores and shares personal information.

This policy explains how SiteBuddy (“we”, “us”) handles personal information when you visit our website, contact us or become a customer. We aim to handle personal information in line with the Australian Privacy Principles.

The information we collect
When you visit our website
Our website doesn’t use analytics, advertising or tracking tools, and it doesn’t set cookies for visitors. Our fonts and images are served from our own website, not from third-party services.
Like any website, the server that hosts our site automatically records technical information in its logs, such as your IP address, browser type, the pages requested and the date and time. These logs are used to keep the website secure and working properly.
When you use our contact form
Our contact form asks for:
- your name
- your email address
- your business name (optional)
- the service you are interested in
- your current website address (optional)
- your message
When you send the form, we also record your IP address, your browser and device type, and the page you sent it from. Your submission is stored in our website’s database, using the form plugin that runs on our own website, and a copy is emailed to our business inbox so we can reply.
When you email us
We receive your email address, your name and anything you include in your message or attachments.
When you become a customer
To deliver your project, we collect the information you give us, such as your contact and business details, your answers to our project brief, the content you supply (text, logos and photos), your feedback and approvals, and, where you ask us to launch your website, access to your hosting or domain account. We ask you to share access details through a secure method we provide, never by email.
When online payments are available, card payments will be handled by a payment provider. We will not see or store your full card details, and we will name the provider in this policy when it is in place.
How we use your information
- To reply to your enquiries and questions
- To quote for and deliver the services you ask for
- To send project updates, such as preview links, approval requests, receipts and invoices
- To provide support, including SiteBuddy Care
- To keep our website and systems secure
- To meet our legal obligations, such as keeping business and tax records
Marketing emails
We don’t send marketing emails at the moment. If we do in future, we will only email people who have agreed to hear from us, every email will clearly identify SiteBuddy, and you will be able to unsubscribe at any time.
Who we share it with
We only share personal information with service providers that help us run SiteBuddy, and only as needed:
- Our website hosting provider, which stores our website, its database (including contact form submissions) and server logs
- Our email provider, which handles our business inbox and the notification emails from our contact form
- A payment provider, once online payments are in place
- For your project, the providers you ask us to work with, such as your own hosting or domain company
We don’t sell personal information. We may also disclose information where the law requires it.
Information stored outside Australia
Some of our service providers may store or process information on servers outside Australia. Where this happens, we take reasonable steps to make sure the information is protected.
Cookies
Our website doesn’t currently set cookies for visitors, and we don’t use analytics or advertising tools. Standard WordPress cookies are only used when a site administrator is logged in.
If we add analytics or advertising tools in future, for example to measure our ads, we will update this policy before we do, and ask for your consent where that is required.
How we keep it secure
- Our website uses a secure HTTPS connection
- Access to personal information is limited to the people who need it
- We use reputable service providers and strong, unique passwords
- We never ask you to send passwords by email
How long we keep it
We keep enquiries for as long as we need them to respond and follow up, and then delete them. We keep customer and project records for as long as we need them to provide our services and to meet our record-keeping obligations; Australian tax law generally requires business records to be kept for five years. Server logs are kept by our hosting provider for a limited period.
Accessing or correcting your information
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by emailing info@sitebuddy.com.au. We will usually respond within 30 days.
Complaints
If you have a concern about how we have handled your personal information, please email us first and we will try to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was updated.
